Aurelia Behavioral Academy (“the Center,” “we,” “our,” or “us”) provides clinical, educational, and therapeutic services in accordance with Applied Behavior Analysis (ABA) practices. By accessing our website, enrolling in our services, using any of our digital tools, or participating in therapy services, you (“you,” “your,” “the parent/guardian,”or “the client”) agree to be bound by these Terms of Use. If you do not agree with any part of these Terms, you must discontinue use of our services and website.

1. Scope of Services

We provide diagnostic and therapeutic services based on principles of ABA for individuals with autism spectrum disorder (ASD) and related developmental conditions. Services may include assessments, behavior intervention plans, direct therapy, parent training, school consultation, and telehealth.
Our services do not replace emergency care, psychiatric evaluation, or primary medical services.

2. Eligibility and Consent

To use our services, you must:

  • Be at least 18 years of age or a legal guardian of a minor receiving services

  • Provide accurate and complete personal, medical, and insurance information

  • Consent to evaluation and treatment in writing

  • Acknowledge that ABA services may require consistent participation and parent involvement

3. Appointment and Cancellation Policies
  • Appointments must be scheduled in advance.

  • We require at least 24 hours' notice for cancellations. Repeated late cancellations or no-shows may result in discharge.

  • We reserve the right to modify appointment availability based on staffing and clinical needs.

  • In case of emergencies or illness, please notify us as soon as possible.

4. Insurance and Payments
  • Clients are responsible for all charges not covered by insurance, including deductibles, co-pays, and non-covered services.

  • It is your responsibility to verify insurance coverage and notify us of any changes.

  • Invoices must be paid promptly. Unpaid balances may result in suspension of services or referral to collections.

5. Use of Telehealth and Technology
  • We offer telehealth services through secure, HIPAA-compliant platforms.

  • Clients must have a private, quiet setting and reliable internet connection.

  • Sessions may be terminated or rescheduled if quality standards are not met.

  • Telehealth is subject to the same confidentiality standards as in-person services.

  • By participating in telehealth, you consent to treatment delivered via remote means.

6. Website and Portal Use
a. Acceptable Use: You may use our website, online forms, and patient portal only for lawful and authorized purposes. Prohibited actions include:
  • Unauthorized access to systems or accounts

  • Transmitting malware or offensive content

  • Misrepresenting your identity or affiliations

b. Security and Privacy
  • You are responsible for maintaining the confidentiality of your portal login.

  • Do not share login credentials with unauthorized individuals.

  • If you believe your account has been compromised, notify us immediately.

7. Confidentiality and HIPAA Compliance

All client information is handled in compliance with HIPAA regulations and applicable Ohio laws. Please review our Privacy Policy on our website for full details.

Confidentiality may be broken under the following circumstances:
  • Risk of harm to self or others

  • Suspected abuse or neglect of a minor or vulnerable adult

  • Court orders or subpoenas

  • Required reporting to public health authorities

8. Behavioral Expectations and Safety

We maintain a safe and respectful environment for all clients, families, and staff. The following behaviors are strictly prohibited:

  • Aggression, verbal abuse, or threats

  • Disruption of sessions or destruction of property

  • Discrimination or harassment

  • Possession of weapons or illegal substances on premises

Violations may result in immediate dismissal and/or referral to appropriate authorities.

9. Termination of Services

We reserve the right to terminate services for reasons including, but not limited to:

  • Repeated no-shows or cancellations

  • Noncompliance with treatment plans

  • Failure to remit payment

  • Safety concerns or inappropriate behavior

  • Changes in clinical eligibility or insurance status

Termination will be communicated in writing when possible and may include referral resources.

10. Intellectual Property and Content Ownership

All content on our website, including text, images, graphics, videos, and materials, is the intellectual property of Aurelia Behavioral Academy and is protected by copyright laws. You may not copy, distribute, or use any content for commercial purposes without written permission.

11. Limitation of Liability

To the fullest extent permitted by law:

  • We make no guarantees about the success or outcome of therapy services.

  • We are not liable for damages arising from use of telehealth, internet downtime, data breaches beyond our control, or miscommunications resulting from user error.

  • Any claims must be filed within one year of the incident.

12. Governing Law and Dispute Resolution

These Terms are governed by the laws of the State of Ohio. Any legal action arising under these Terms or related to services must be brought in the appropriate court within the State of Ohio. We encourage resolution through mediation when possible.

13. Changes to These Terms

We may update these Terms at any time. Continued use of our services constitutes your agreement to the revised terms. A current copy will be available at our location and on our website.
